What is Point-of-Sale?
A point-of-sale (POS) system is similar to a debit card system. The software allows us to provide a debit account for student meals and allows parents the convenience of pre-paying for lunch and ala carte items in advance. It is also used to eliminate the need for cash on a daily basis, thereby speeding up meal service and providing an additional measure of security.
How does it work?
A pre-paid debit account is set up for each student. Money is placed in the student's account. The student selects the lunch or ala carte food items he/she wishes to purchase, proceeds to the cashier where he/she will be required to enter his/her Bellarmine student ID number. This will bring up the student's picture and account information on the screen. The POS system will automatically deduct the cost of the items from the account balance and the students just go to their seats to enjoy their lunches and converse with their friends. No more searching for money, borrowing money from other students, or waiting in long lunch lines.
What are the benefits of this system?
We encourage all Bellarmine families to participate in this program because of its many benefits. Making regular online deposits may not only help you with budgeting, but will assure your student gets a regular, nutritious meal, and significantly speeds up the lunch lines allowing more time for students to eat their meals and converse with their friends. The POS system also allows you to monitor your student's eating habits. Only food items may be purchased and cash cannot be taken out of an account. You can pay as often as you like online with a Visa/Mastercard or you can make deposits into your MealTime account in the Student Center by check or cash any school day that lunch is being served in the Student Center.
Is there a limit to the amount of money I can put in the account?
No. You may put as much money in your account as you'd like. Any remaining balance at the end of the school year will be transferred to the next school year. Refunds will be made for any remaining balances in senior student accounts. Special requests for refunds may also be sent to the Comptroller's Office at Bellarmine.
What if I don't know my student's Bellarmine Student ID number to set up an account online?
Parents can find student ID numbers on a variety of official Bellarmine documents including on student ASB cards, tuition statements, official transcripts, progress reports, and report cards. Parents can also call the school for their student's student ID number. Please note: when setting up your account online, be sure to use your student's name as listed in Bellarmine's official student records ( e.g. Christopher vs. Chris).
What if the student forgets his/her Student ID number in the Student Center?
To protect the student's account, all account purchases require a student ID number. We do understand that sometimes ASB cards can be lost and student ID numbers forgotten. For those times, the Cafeteria Manager will look the student up by name. New ID Cards can be obtained in Orell Library.
What is the procedure for sending in lunch money?
The best way to add money to a student's account is online using a Visa or Mastercard at www.bellarmineprep.org/mealtime. Instructions for how to set up the account and make deposits are posted on that web page. Online deposits made in the morning may not be available until the next day, so please plan accordingly.
If you'd rather pay by cash or check, deposits can be made in the Student Center to a MealTime account. Simply bring cash or make a check payable to Bellarmine Preparatory School and bring it in or send it with your child to the Student Center on any school day lunch is being served. This is the only way Bellarmine can accept cash or check payments in a student's MealTime account. If you have more than one student at Bellarmine, please indicate on the check the amount that should be placed in each student's account. Students are not able to purchase food directly with cash, they must use their MealTime account to make purchases.
How do I know that the student is the only one using the account?
Each student buying meals will enter his/her student ID number on a pin pad (or swipe his/her ASB card) at the cashier station. This will bring up the student's picture and account information on the screen. The computer records what is purchased and will prompt the cashier if a student ID number was entered more than once.
How will I know when to replenish my account?
Parents will be able to check the status of their account online at any time and make necessary deposits. The POS system has also set low balance limits that alert the cashier when a student account gets down to a critical level. When the cashier sees this alert, he/she will verbally notify the student that the account will need to be replenished.
What can a student purchase with the money in his/her account?
A student may purchase lunch or ala carte items offered in the Student Center. It is the responsibility of the students and parents to use the money in the cafeteria account in a responsible manner. Our cafeteria staff cannot police student purchases.
What if I choose not to participate in the point-of-sale program?
We encourage all Bellarmine families to participate in the point-of-sale program as it offers many benefits. Students will no longer be able to purchase food with cash. They can make a cash or check deposit and use those funds for charging on their account, although they will not be given change.
What do I do if I forget my username or password?
When you go online, if you forget your username and/or password, there is an online link you can use to retrieve them. You may also send an email to mtosupport@mealtimeclm.com or call MealTime Support at 1-800-755-0904.
What if I have a question about purchases or about my account balance?
Either you or your student can discuss questions you may have about student purchases or account balances with the cafeteria staff in the Student Center. Students or parents may also contact Food Services Director Krissie Bowman at BowmanK@bellarmineprep.org, 253-879-9741.
What if I want to transfer money in my account from one of my children to another?
Students may handle transfers of money between their siblings' accounts in the Student Center any school day lunch is being served.
